Expectations for Presentations
Presentations must be objective and free of commercial bias for or against any product or device.
Slides and/or reference materials shall not, by their content or format, advance the specific proprietary interests of a commercial entity.
All clinical recommendations must be based on evidence that is accepted within the profession as adequate justification for their indications and contraindications in the care of patients. All scientific research referred to, reported or used to support or justify a patient care recommendation must conform to the generally accepted standards of experimental design, data collection and analysis.
Presentations must give a balanced view of therapeutic options. Use of generic names will contribute to this impartiality. If trade names are used, those of several companies should be used rather than only that of a single supporting company.
Presentations must offer a balanced view of current medical practice that includes discussion of all available therapeutic products, including benefits and risks associated with each.
Presentation materials must not include any commercial logos.
Presentation materials must be HIPAA compliant (e.g. will only use de-identified patient information and/or will obtain written consent from the patient).
Presentations must include the most recent data on subject matter.
When relevant, presentations should emphasize safety and quality.
Note: Faculty and abstract presenter members may be required to submit slides to ASTRO for review and approval prior to presentation.
As a member of the faculty, I agree to fulfill the following responsibilities:
- Participate in Seminar development and presentation, to include participation, if applicable, in faculty conference calls and timely submission of Seminar materials.
- Comply with ASTRO Expectations for Presentations as stated above.
- Provide relevant disclosure of financial interests per the ASTRO Conflict of Interest Policies.
Consent to Record
You grant ASTRO, including its licensees, agents, and those working with them the right to record and capture in any medium all or some of your presentation(s) at this meeting and make those recordings available for any and all uses and for sale, by ASTRO or its designees, as determined by ASTRO, in its sole discretion, and you agree to assist in such recording or capture. The materials in use for this Seminar belong to ASTRO as set forth below, but you also agree that in any event, you grant ASTRO the irrevocable right to edit, modify, sell, distribute, perform, translate, make derivative works, and otherwise use and exploit your presentation materials (or related abstracts) in any manner, at ASTRO’s discretion, worldwide, including without limitation as part of a collection in virtual meeting, DVD, on ASTRO's website (www.astro.org), or in any other format, without any compensation to you. You agree that you will not sell your own recordings or pre-recordings at the meeting.
You agree to respect the rights of others and to comply with the law, including the Health Insurance Portability and Accountability Act, copyright law, and the like. Unless you have informed ASTRO in writing otherwise, you represent that you have the right, either as the owner, permittee, or licensee, to use all the material in your presentation (including but not limited to photographs, images, graphs, data, chapters, and all material from third party sources) and to grant ASTRO the rights described above.

Volunteer Intellectual Property Release Form
All works, data, materials, concepts, and inventions created during, relating to, or in connection with Volunteer's participation in the Seminar ("Work Product") are and will be owned entirely and exclusively by ASTRO, who may use the Work Product in any manner. Volunteer hereby assigns and agrees to further assign in the future any and all rights, title and interests Volunteer may have or acquire in and to the Work Product, and any portions thereof, and any content and material included therein. ASTRO may edit, adapt, reproduce, distribute, broadcast, transmit, publish, create derivative works from, and otherwise use, and sell the Work Product in any manner, worldwide, in perpetuity, in any and all media now known or subsequently invented.
Volunteer will execute and deliver all required instruments and will do anything else reasonably necessary to enable ASTRO to secure patent, copyright and other property rights in the United States and in other countries for the Seminar or the Work Product. Volunteer's obligation to cooperate with ASTRO in this manner will survive the completion of the Seminar. If Volunteer's cooperation is required to help ASTRO prosecute, transfer, record, or perfect its ownership of an invention and Volunteer does not respond within ten (10) days of a written request for cooperation sent by ASTRO to the address for Volunteer listed below, then Volunteer hereby appoints ASTRO as Volunteer's attorney, and grants ASTRO Volunteer's power of attorney to execute good faith, commercially reasonable releases, assignments, and other documents or agreements ordinarily required in the prosecution, perfection or transfer of proprietary rights.
Volunteer releases ASTRO from, and covenants not to assert, any and all claims and causes of action arising from or relating to the production and subsequent exploitation of the Work Product by ASTRO, including, without limitation, claims or causes pertaining to copyright, trademark, patent, rights of publicity, rights of privacy, defamation or other similar cause, however denominated, throughout the world. Volunteer will not publish or use the Work Product in any manner except with ASTRO’s permission.
Volunteer represents and warrants that Volunteer: (i) is authorized to enter into this agreement; and (ii) has not provided and will not knowingly provide to ASTRO or include within any Work Product any third party confidential information or third party proprietary content. This is the entire agreement of Volunteer and ASTRO with respect to the subject matter hereof.
