ASTRO 2026 Press and Social Media Policies for Industry Partners

This page includes key information for the industry partners who support ASTRO’s Annual Meeting. Feel free to contact ASTRO’s corporate relations team or media relations team with any questions.

Embargo Policy

All abstracts to be presented at the ASTRO Annual Meeting are embargoed until 5:00 p.m. Eastern time on Friday, September 25, 2026. The embargo for all posters at the meeting also lifts at that time.

For abstracts selected for oral presentation, information beyond what is included in the abstract — including updated or additional results — remains embargoed until the date and time of scientific presentation or presentation at an ASTRO news briefing, whichever occurs first. Presentation times are available in the Annual Meeting Portal.

Once the embargo lifts, abstracts and posters will be available in the Annual Meeting Portal and published in the International Journal of Radiation Oncology • Biology • Physics (Red Journal).

Media Lists

As a courtesy to the reporters who cover our meeting, we do not share our media lists.

Press Releases

Curtain-raiser press releases for research presented at the ASTRO Annual Meeting are allowed and encouraged, provided they follow ASTRO’s embargo policy.

Releases sent pre-embargo may include the abstract title, authors, presenter, presentation details and other information that is publicly available in the Annual Meeting Portal. Releases may also discuss the study’s design and purpose, but they cannot disclose data, results, interpretations, conclusions or implications derived from the data or results before the applicable embargo lifts.

ASTRO’s media relations team is available to review press releases to ensure they do not violate the embargo. Please note that review by ASTRO does not imply endorsement, approval or independent verification of the content.

Press Conferences and Blackout Times

Press conferences on the Exhibit Hall floor are prohibited. Press conferences at outside locations are not permitted during the hours of 6:30 a.m. to 6:30 p.m. Eastern time, September 27-30, 2026.

Organizations planning off-site media activities are encouraged to coordinate with ASTRO’s media relations team to avoid conflicts with ASTRO-sponsored activities.

Social Media

We encourage you to follow the meeting hashtag, #ASTRO26, and engage with ASTRO on social media. You can find a list of ASTRO’s social media channels here. We also maintain a list of common hashtags in radiation oncology conversations for reference.

Industry Expert Theater

Companies that sponsor an Industry Expert Theater at the ASTRO Annual Meeting may submit up to two social media posts to promote their event: one to be posted a week before the event, and one to be posted the day of the event.

Email draft social media posts to ASTRO's corporate relations team no later than Friday, September 4, 2026. Sponsors should provide specific language, images, appropriate hashtags and any accounts to tag.

ASTRO will not draft posts on a sponsor’s behalf. ASTRO reserves the right to modify proposed language to comply with our Conflict of Interest Guidelines.

ASTRO Engagement with Industry Partner Posts

ASTRO cannot cross-promote or share Ambassador/Corporate member announcements, products or services in a way that could imply endorsement. Please refer to our Conflict of Interest Guidelines for more information.

ASTRO may, at its discretion, post or repost industry-related news from independent news outlets that mentions an Ambassador/Corporate member. Any engagement from ASTRO’s social media accounts is discretionary and does not imply endorsement.

ASTRO will not directly promote industry partners’ press releases on social media. While news articles that result from a press release may be shared on ASTRO’s social channels, this does not imply endorsement or promotion of the underlying content.
