Eligibility for ASTRO Press Registration

ASTRO provides complimentary registration to qualified journalists and news professionals whose sole purpose is gathering news and information to produce independent editorial coverage of the ASTRO Annual Meeting. 

Outlet Eligibility

To be eligible, the applicant must be a credentialed representative of a print, broadcast or digital news media outlet that meets all of the following criteria:

  • Regularly publishes original editorial content, not primarily promotional or sponsored material
  • Has complete editorial independence and freedom from advertisers, sponsors and commercial partners
  • Clearly distinguishes editorial content from advertising, sponsored content or marketing materials
  • Does not primarily engage in activities beyond publishing editorial news content, such as marketing services, advertising sales, lead generation, custom content production or exhibitor promotional content

Complimentary registration is also open to media relations professionals/public information officers (PIOs) from educational institutions, government agencies and nonprofit cancer research organizations presenting research at the meeting. ASTRO reserves the right to limit the number of complimentary communications registrations per institution.

ASTRO will consider applications from digital-first journalists or content creators (including independent bloggers and podcasters) on a case-by-case basis, based on the depth, consistency and reach of their editorial coverage. Applicants must provide examples of relevant content and will be evaluated under the same outlet eligibility standards described earlier.

Individual Credentialing Requirements

All applicants must complete the press registration form.

Applicants may be required to provide press credentials, a letter of assignment, recent bylined coverage and/or additional information to verify eligibility. Returning registrants may be asked to provide evidence of editorial coverage from the most recent ASTRO meeting for which they were credentialed.

If the outlet’s content is behind a paywall, the applicant may be asked to provide access sufficient for ASTRO media relations staff to review eligibility and coverage.

Use of Press Credentials & Prohibited Activities

Press credentials are issued solely for the purpose of producing independent editorial coverage for the approved outlet. ASTRO reserves the right to bar from this and future meetings any applicant who misuses press privileges to engage in activities other than journalistic pursuits (e.g., soliciting advertisers or sponsors, filming marketing content for exhibitors, working on behalf of non-credentialed outlets).

The following individuals are not eligible for press registration and should register as regular attendees:

  • Exhibitors, unless they can provide proof of a separate editorial assignment from an accredited news organization meeting the above criteria
  • Public relations, marketing or advertising representatives, except institutional PIOs as outlined above
  • Individuals affiliated with companies that produce content for internal use, advertising/marketing (including advertorials and sponsored content) or public relations purposes
  • Financial analysts and consultants
  • Publishers, book authors and book publishers
  • Sales representatives and business development staff
  • Videographers, photographers or production crews not on assignment for an eligible editorial news outlet
  • Representatives of personal websites, blogs or social media platforms not engaged in regular editorial journalism
  • Journalists attending at the invitation or expense of an exhibitor, sponsor or commercial third party

This list is illustrative, not exhaustive. ASTRO reserves the right to make final determinations regarding press eligibility.
