ASTRO 2024 Housing Agent

The official housing agent for ASTRO 2024 is SPARGO Inc. If you are contacted by anyone who is not a representative of SPARGO Inc., asking if you need assistance with hotel accommodations or registration for the ASTRO Annual Meeting, please get as much information as you can and pass it along to us. Hotel Reservations

ASTRO has contracted with several hotels in Washington, DC, at discounted rates. The deadline to make hotel reservations is September 5, 2024. Hotel reservations received after September 5, 2024, will be processed on a space available basis and may be subject to higher rates. Please note that room inventory is subject to availability, and it is not uncommon for hotels to sell out before the reservation deadline. To ensure that you receive the hotel of your choice and at the discounted conference rates, we encourage you to make your hotel reservations early.

Special Requests

Hotels will not guarantee room types or special requests. Please confirm your request at check-in.

Hotel Changes and Cancellations

On or before Thursday, September 5, 2024, you must submit your cancellations or changes online or in writing to the ASTRO Housing Center. A confirmation will be sent to you within five (5) business days after receipt of your written request. If you do not receive this confirmation, please contact the ASTRO Housing Center to verify that your change or cancellation request was received. Beginning Wednesday, September 11, 2024, you must call the hotel directly for any changes and/or cancellation.

If you do not cancel at least seventy-two (72) hours prior to your scheduled arrival date, you will be assessed a cancellation fee equivalent to one (1) night's room and tax. Please retain the cancellation confirmation from the ASTRO Housing Center or the cancellation number provided to you by the hotel. This proof of cancellation will be required to resolve any credit card disputes.

Cancelling your hotel reservation does not automatically cancel your meeting registration to attend the ASTRO Annual Meeting. To cancel your meeting registration, please contact the ASTRO Registration Center.

Group Attendee Housing

For your convenience, a group housing website has been created for international travel groups or other entities who plan to bring a delegation to the ASTRO Annual Meeting. The group housing website allows group organizers to reserve a block of three or more rooms for their delegation. If you would like to create a group room block, please visit the group housing website. Please note that the group housing website is for attendee reservations only and all rooms must be prepaid. Exhibitors who need to request a room block must secure their reservations via the exhibitor housing website.

Hotel Reservation Disclosure

By reserving a room at one of ASTRO’s official hotels for the 2024 Annual Meeting, you agree to permit ASTRO and its agents, and your assigned hotel(s) to exchange your personal information for the purpose of facilitating your hotel reservation. You agree to release ASTRO and its agents, ASTRO’s official hotels and their respective officers, directors, employees and agents from any liability relating to the disclosure of your personal information for this purpose.
