Affiliated Event Policies and Procedures

Organizations wishing to hold meetings/events in conjunction with the Multidisciplinary Head and Neck Cancers Symposium between February 19-21, 2026, must submit the Affiliate Event Approval Request form to ASTRO to obtain show management approval. Affiliate events are not planned or sponsored by ASTRO. Once your affiliate event has been reviewed, you will receive an email notification advising you if the event has been approved or denied. Please submit one form for each event you would like to hold. Please note that space is very limited and may not be available during your requested date and time.

Scheduling
Companies/organizations are prohibited from holding events that compete with the Multidisciplinary Head and Neck Cancers Symposium program. Events or transportation to/from events may not be held during the following times:


Non-Approved Times
Thursday, February 197:50 a.m. - 7:00 p.m.
Friday, February 207:00 a.m. - 7:00 p.m.
Saturday, February 217:00 a.m. - 12:15 p.m.

Events that are education in nature may qualify as an independent activity in conjunction with the Multidisciplinary Head and Neck Cancers Symposium (both CME and non-CME opportunities are available). Please contact ASTRO’s Corporate Relations Department if you are interested in these opportunities.

Please note: organizations planning media activities are encouraged to coordinate with ASTRO’s press office to ensure they do not conflict with ASTRO sponsored activities.
