Who is the target audience?

How do I sign up to exhibit?

You can sign up by filling out the exhibitor application found on the Reserve a Booth page. Please send all completed applications to John Barrett at john.barrett@spargoinc.com or 703-654-6490.

How do I select my booth number preferences?

When completing your initial exhibitor application, you may select up to three preferred tabletop numbers found on the Exhibit Hall floor plan.

Tabletop exhibits are assigned on a first-come, first-served basis with preference being given to meeting sponsors. While every effort will be made to honor your specific request, we are unable to guarantee spaces.

How much does an exhibitor tabletop booth cost?

A tabletop booth cost $4,500 for exhibitors.

Can I pay for my booth by check?

We strongly recommend you pay by credit card, but we accept check payments upon request. In order to pay by check, submit your exhibitor application to exhibitcontracts@spargoinc.com along with an invoice request.

Check payments must be received one week prior to the start of the meeting. All checks that are not received one week before the meeting will cause forfeiture of the exhibiting space.

Are there any special discounts for a booth space at 2021 Multidisciplinary Thoracic Cancers Symposium?

No, there are no special pricing or discounts for the 2021 Multidisciplinary Thoracic Cancers Symposium.

What is included in the booth fee?

The following items are included with your booth.

  • One Six Foot Draped Table with Two Chairs
    • All booths are tabletop size.
  • Participation in the Passport to Prizes Program
  • Two Exhibitor Registrations
    • Additional exhibitor registrations are available for purchase. Ambassador’s Exhibitor Registrations qualify for CME credits.
  • Exhibitor Listing in the Online Program
  • Access to Educational Programs on a Space-available Basis
    • Exhibitors are not eligible to receive continuing medical education credits.
  • All Food Served in the Exhibit Hall
  • Postshow Attendee List
    • Please note, exhibitors will be required to sign a licensing agreement prior to obtaining the list and eligibility requirements may apply.
Who is the General Services Contractor?

GES Exposition Services Inc. is official General Services Contractor. You can order services through them by going to the Booth Services page.

Who is the official audio/visual provider?

Projection AV is ASTRO's official audio/visual vendor for the 2021 Multidisciplinary Thoracic Cancers Symposium, excluding power and internet. All audio/visual orders for exhibit booths should be ordered through the 2021 Multidisciplinary Thoracic Cancers Symposium audio/visual order form.

All electrical and internet orders will be provided by PSAV at the Fairmont Scottsdale Princess. Please complete the electrical and internet form to request equipment and service.

How can I market my company to attendees at the Symposium?

Show Management will provide a complimentary listing on the meeting website as well as a complimentary listing in the official 2021 Multidisciplinary Thoracic Cancers Symposium Pocket Program.

The Preshow Attendee List is available for purchase and is delivered four weeks out from the meeting. If you wish to purchase the Preshow Attendee List, please contact John Barrett at john.barrett@spargoinc.com or 703-654-6490.

Do I need to register staff that will man our booth?

Yes, all personnel working the booth must be registered and must have an exhibitor badge. You can register exhibits staff by going to the Exhibitor Resource Center and completing the Exhibitor Registration Form.

What is the Passport to Prizes Program?

The Passport to Prizes Program is a booth traffic program that allows attendees an incentive for visiting booths to complete their Passport. General exhibitors who paid the booth fee are eligible to participate for the Passport to Prizes Program at no additional costs.

Where will the Exhibit Hall be located?

The 2021 Multidisciplinary Thoracic Cancer Symposium Exhibit Hall will be located in Salons F-I of the Princess Ballroom at the Fairmont Scottsdale Princess.

When can I set up my booth?

Exhibitor booth set up is on Wednesday, December 1, 2021, from 6:00 p.m. – 8:00 p.m. All booths must be set up during this time.

Do I need to order carpeting?

No, Salons F-I are fully carpeted. No additional carpeting is needed.

What are the exhibit hall hours?

Thursday, December 2, 2021: 7:00 a.m. – 5:15 p.m.
Friday, December 3, 2021: 7:00 a.m. – 2:45 p.m.

When can I begin to dismantle my booth?

Exhibit Hall dismantle begins Friday, December 3, 2021, 3:00 p.m. – 5:00 p.m. Exhibitors may not dismantle prior to this without Show Management approval.
