General FAQs

Can I pick up badges for other people?

No, attendees must pick up their own badge and registration materials.

For exhibitors, the designated badge contact is the only person authorized to pick up another person's badge for the exhibiting company. Learn more about the Exhibitor Booth Personnel Registration Policies and Procedures.

Will shuttle buses be available?

Yes. Shuttle buses will be available from select ASTRO official hotels that are not within walking distance. The shuttle bus service will begin on Saturday, September 27, 2025, and run until Wednesday, October 1, 2025. Find more details on our transportation page.

Where can I find help at the Convention Center?

If you have questions while you are in San Francisco, visit the ASTRO Resource Center located in South Lobby, Lobby Level of the Moscone Center.

How do I access the Annual Meeting Portal?

The Annual Meeting Portal is now available. The mobile-friendly portal is your one-stop shop for all your on-site meeting needs!

  1. The Annual Meeting Portal allows you to view the Daily Schedule, browse exhibitors, view abstracts and more.
  2. Depending on the registration package you choose, you may also view livestreamed sessions and access the Meeting onDemand.

Program FAQs

What types of continuing education credits are offered?

ASTRO offers multiple types of credits for the Annual Meeting:

  • AMA PRA Category 1 Credits™ will be available for in-person, virtual and onDemand sessions.
  • Commission on Accreditation of Medical Physics Education Programs (CAMPEP) for Medical Physics Continuing Education Credits (MPCEC) will be available for in-person and virtual meeting sessions. CAMPEP credits are not available for onDemand sessions.
  • An application will be submitted to the Medical Dosimetrist Certification Board for MDCB credit for the live, in-person meeting. MDCB credits are not available for the virtual meeting or onDemand sessions.

How do I claim my credits?
  • Go to the ASTRO Academy.
  • Log in with your ASTRO credentials (the email and password you used to register for the meeting).
  • Click the "My Activities" tab at the top of the page.
  • Click the "Pending activities" tab.
  • Click on “2025 ASTRO Annual Meeting - Credit Evaluation.”
  • You will be taken to the main page for the credit evaluation.
  • Click the "Take Course" tab.
  • Use the navigation to complete the Session Selection section of the evaluation.
  • Select all of the sessions you attended and then submit your selections. Select only the sessions you attended live. Physicians can also claim credits for the onDemand recordings watched in a separate evaluation.
  • Do not submit the credit evaluation until you are done selecting sessions.
  • You will not need to evaluate each session individually. There is an evaluation of the meeting as a whole at the end.
  • Once you have completed your session selection and the overall meeting evaluation, your certificate can be accessed in your Completed activities tab.
  • CAMPEP and MDCB credits will be sent to CAMPEP and MDCB approximately 45 days post meeting.

For the attendee experience survey, a link will be sent to you at the email address you used to register for the meeting. Please be sure to complete both the credit evaluation and the attendee experience survey.

The evaluation/credit claiming deadline for the live meeting for all attendees is November 3, 2025.

How can I view Posters?

Posters can be viewed during the Poster Hall hours at the Poster Kiosks located in Exhibit Hall F at the Moscone Center. Posters are also available through the Annual Meeting Portal and in the Virtual Poster Library once the embargo is lifted at 5:00 p.m. Eastern time on Friday, September 26, 2025.

The Poster Hall will be open during the following hours:

Sunday, September 28 | 10:00 a.m. - 6:00 p.m.
Monday, September 29 | 8:00 a.m. - 6:00 p.m.
Tuesday, September 30 | 10:00 a.m. - 5:00 p.m.

How do I interact with poster presenters?

During the Poster Q&A Sessions, poster presenters will have five minutes for individual presentation and Q&A, followed by an open Q&A for all presenters. Multiple digital posters and presenters are assigned to each kiosk during the Poster Q&A Sessions. Attendees are encouraged to view and listen to narrated posters prior to attending in-person Poster Q&A sessions and come to sessions with prepared questions for presenters.

When will the embargo lift on abstracts/posters?

The embargo for the abstracts and posters will be lifted at 5:00 p.m. Eastern time on Friday, September 26, 2025.

How will I be notified of last-minute session changes and cancellations?

Presenter FAQs

I am a poster presenter and can’t attend the meeting, can I still present my poster?

We can accommodate a presenter if they register for the virtual meeting and attend in that capacity due to travel constraints. Poster presenters participating virtually are strongly encouraged to record a narration of their poster and plan to respond to questions virtually.

I am an oral abstract or quick pitch presenter and am unable to attend the meeting, can I still pres

No, unfortunately, we are unable to support virtual presenters. If you are an abstract presenter and are unable to attend, please contact the Annual Meeting team as soon as you can.

I am a faculty member, and can no longer attend the meeting, who should I contact?

If you are a faculty member who can no longer attend the Annual Meeting, please contact the Annual Meeting team as soon as possible. Depending on your role, we'll provide the appropriate next steps.

Virtual Meeting and Meeting onDemand FAQs

Is there a virtual component to the Annual Meeting?

Yes, a variety of registration options are offered so that you can attend the Annual Meeting “Your Way.” The Virtual Full Conference registration package includes:

  • Real-time access to the education and scientific sessions livestreamed from the Annual Meeting
  • Access to the PRO Program
  • Continuing medical education (CME) credits
  • onDemand access to session content
  • Access to the Annual Meeting poster library

What is the difference between the Virtual Meeting and the Meeting onDemand?

The Virtual Meeting provides access to most meeting sessions* which will be livestreamed in real time September 27 - October 1, 2025.

The Annual Meeting onDemand offers registrants the opportunity to view recorded sessions and claim corresponding CME credits after the live meeting takes place. Both In-person Full Conference and Virtual Full Conference registration include onDemand access with CME credit claiming for most meeting sessions* until June 1, 2026.

*Exceptions include breakfast/luncheon/reception events, Early Career and Mentoring/ASTRO Communities Lounge sessions, and Poster Q&A.

How do I register for the Virtual Meeting?

Visit the registration page and select Virtual Full Conference.

How do I register for the Meeting onDemand?

If you are registered for either the In-person Full Conference or the Virtual Full Conference, no additional registration is required. Both registrations include onDemand access with CME credit claiming until June 1, 2026.

The Annual Meeting onDemand will be available for purchase to non-registrants October 2, 2025 ‒ January 31, 2026, in the ASTRO Academy.

What is my login for the Virtual Meeting?

Your login is your ASTRO credentials, the email and password you used to register for the meeting. If you do not remember your ASTRO password, click the "Forgot Password?" button at the login prompt.

How do I access the Virtual Meeting and join a session livestream?

You will be able to access the Virtual Meeting livestream via the online Annual Meeting Portal from the beginning of the meeting, Saturday, September 27, at 7:55 a.m. Pacific time, through the end of the live meeting, Wednesday, October 1, 2025, at 1:00 p.m. Pacific time.

To view a session:

  • Click the Daily Schedule in the lefthand menu.
  • Click the session you would like to view to open the session page.
  • On the session page, click the Watch Livestream button to open the livestream in a pop-up window.
  • Use the Social Q&A link to ask questions or participate in polls.
How do I access the Meeting onDemand?

The meeting onDemand is available in the Annual Meeting Portal, the same platform as the Virtual Meeting. Follow the same steps for accessing the Virtual Meeting.

The onDemand recordings will be available within 24 hours after the end of each session and can be accessed through June 1, 2026.

How do I view posters virtually?

Posters can be viewed through the Annual Meeting Portal and in the Virtual Poster Library once the poster embargo lifts at 5:00 pm Eastern time on Friday, September 26.

To view posters in the Virtual Poster Library, you will be asked to create an account. The library is not tied to your ASTRO.org account. If you created a login for past ASTRO meetings, you can use that login information again.

ASTRO has asked every poster author to narrate their poster. This will allow participants to hear poster authors describe their work, regardless of whether they are participating in the virtual or the in-person program. When you click on each section of the poster, the audio narration for that section will begin to play. The Virtual Poster Library also includes a Discussion Forum for each poster, and gives meeting attendees the ability to send messages to poster authors. If you have any questions for poster authors, be sure to use these features.

If I encounter technical difficulty, what steps should I take?
  • You can watch sessions from a mobile device, laptop or desktop. Most computers/phones purchased within the past few years will meet the minimum requirements.
  • Use the latest version of Chrome, Firefox, Microsoft Edge or Safari on Mac OS browser.
  • If the livestream pop-up window won't open or the video won’t play, then please note:
    • Some institutions have robust security measures that will block some virtual features.
      • Disconnect from a VPN (virtual private network).
      • If you are at a work institution, try another network like a mobile device or home network.
    • Clear your web browser history and cache or try another browser.
    • Completely log out of the Annual Meeting Portal and log back in.
  • If the livestream is slow to load or buffers frequently:
    • Check your internet connection. A minimum of 5 Mbps is required, but 15+ Mbps is recommended. You can check this at www.speedtest.net.
    • Use a hard-wired internet connection, if possible. If you have to use Wi-Fi, make sure you are close to the Wi-Fi device.
      • If you are at the Annual Meeting in San Franciso, the attendee public Wi-Fi may not support streaming.
    • Close any other windows/tabs that may be using a lot of bandwidth.
    • If you are at home, make sure you are not also using streaming services like Netflix, etc., that could impact your available bandwidth.
  • Please note that if you pause the livestream on your computer for more than 15 minutes, you will need to log out and log back into the Annual Meeting Portal.
