Privacy Policy

Because Your privacy is important to You and to ASTRO, ASTRO will operate the ASTRO.ORG website and all websites related to ASTRO, including but not limited to the sites of ARRO, ASRO, RO Institute, ROhub, RT Answers, Multidisciplinary Symposium in Thoracic Oncology, and Multidisciplinary Head and Neck Cancer Symposium (the “Websites” or “Sites”), by the following principles. The principles apply to information that personally identifies You ("Personal Information"). BY CONSENTING TO THE TERMS OF USE AGREEMENT FOR THE SITES, OR BY USING THE SITES, YOU CONSENT TO THIS PRIVACY POLICY.
ASTRO reserves the right to change the terms, conditions and notices under this Privacy Policy. You should review these terms periodically to understand the terms that govern Your use of the Websites. Your non-termination or continued use of the Websites after changes are posted constitutes Your acceptance of the Terms of Use as modified by the posted changes.

1. Personal Information

The portions of the Sites accessible to the general public will not expressly ask for information that personally identifies You or that allows ASTRO to contact You.
The Members Only portion of the ASTRO.ORG website ("Members Only Site") will expressly ask for Your Website Unique ID and Your password to access the Members Only Site. When You become a registered Member of the ASTRO.ORG website, or update Your Membership with the ASTRO.ORG website, certain information will be requested and or collected, including the following:

  • Work and Home address (including state, city, ZIP code and country)
  • Telephone (Work)

Financial Information

  • Credit Card Number for membership dues payment (if paid by credit card)

Medical Background

  • Medical School
  • Medical Education/Training (Internship and Specialty Training)

The information that You provide to ASTRO to become a Member during the ASTRO Member registration or renewal process, including name, address, phone and payment information, together with any additional information You provide to ASTRO and information regarding the manner in which You use Your ASTRO Membership, will not be processed or disclosed by ASTRO except as permitted by this Policy or as required or allowed by applicable law or legal process.
From time to time, You may purchase products or services offered on the Sites, including but not limited to member registration, products in the ROMarketplace, or registration for ASTRO organized or sponsored meetings or courses, and You may make donations to ASTRO PAC. Personal and credit card information will be requested, collected and may be stored. ASTRO utilizes an encrypted connection when transferring such information.
ASTRO also may conduct surveys of ASTRO’s Membership regarding Member preferences for ASTRO products or services, including ASTRO organized or sponsored meetings or courses. At that time, You may also supply other information to ASTRO at Your option, such as information about Your travel and lodging preferences and interests, meeting or course selections, additional financial information for payment purposes, and preferred informational topics.
Please note that certain information, photos, or content that you may submit to ASTRO in the Members Only portion of the Sites, or groups that you choose to join on the Sites, may be likely to reveal personal information about You. You understand that the submission of such information, photos, or content, and joining of such communities, is voluntary on Your part, and ASTRO may process, store and use this information within the terms of this Privacy Policy.
The ASTRO website is not designed to attract children under 13 years old, and Members are required to be 18 years of age or older. Accordingly, ASTRO will not knowingly collect or maintain information at the ASTRO website from children.

2. Accuracy of Personal Information

When possible, the ASTRO website will provide You with the means to make sure that Your Member information is correct and current. You may view Your name, title, address, phone number, facsimile number and email address collected from You when becoming a Member or renewing Membership by entering the Members Only Site (using Your ASTRO Website Unique ID and ASTRO Website Password) and then reviewing Your information in the Online Membership Directory. For any other information not appearing in the Online Membership Directory, You must contact ASTRO directly in one of the four ways listed below. To correct any factual inaccuracies, You must send ASTRO a request that shows the error and the requested change. Information provided in response to surveys and financial information kept for accounting purposes may not be corrected; however, information provided to purchase ASTRO products or services may be altered by contacting ASTRO.

ASTRO will make a good faith effort to process valid changes, but ASTRO does not promise to do so within a particular time frame. ASTRO will send You a confirmation email once a change is effected.

3. Protection of Personal Information

ASTRO endeavors to protect the security of data collected on the Sites. The Sites use an encrypted connection when transferring sensitive Personal Information. ASTRO also has put in place physical, electronic and managerial procedures to safeguard and secure the information ASTRO collects online in accordance with industry standards. When ASTRO contracts with third parties to perform any services supporting the Websites, such as meeting planning services, ASTRO will endeavor to ensure that the third parties protect the security of the Personal Information collected with comparable security standards.

4. Use of Personal Information and Opt-Out Policy

ASTRO uses Your Personal Information to operate the Sites, to contact You (including regular email alerts, ASTRO meeting or conference notices, and responding to your requests); to effect, enforce, investigate, collect on and account for transactions related to the ASTRO website; to populate Your entry in ASTRO’s Online Membership Directory; to adjust ASTRO’s offerings of products and services; to sell mailing labels of ASTRO Members; to track your visits to ASTRO’s ROHub private online community website; to facilitate Your use of the ASTRO Career Center, and to comply with applicable law. This may include without limitation processing and verifying orders for products, courses and conferences attendance; verifying Member credentials to maintain reasonable security; providing ASTRO with information regarding developing new features, products and services for Members and contacting You regarding new features, products and services. ASTRO may provide Your information, or You may provide Your information directly, to third parties who are responsible for implementing some of ASTRO’s services (e.g., meeting, conference or course registration and payment). Financial information that is collected is used to bill You for products, services and dues. Unique Identifiers (such as Social Security Numbers) are used to verify Your identity.
ASTRO uses Your IP address to analyze trends, track a user’s movement through the Sites, help diagnose problems with ASTRO’s server, and to administer the Sites. IP addresses are not linked to Personally Identifiable information.
ASTRO uses "cookies" to save Your ASTRO Website Unique ID and ASTRO Website Password so that You do not have to re-enter it each time You visit the ASTRO website.
The Sites may contain links and advertisements that lead to other sites that are not under ASTRO’s control, including sites of cosponsors of ASTRO meetings and courses. ASTRO may share information obtained from attendees of courses, conferences or meetings with cosponsors of such courses, conferences or meetings. ASTRO is not responsible for the privacy practices or the content of its cosponsors or of other third party websites. ASTRO encourages You to review the privacy policies of any websites that you visit through a link, advertisement or other notice on the Sites.
ASTRO also uses outside companies to ship orders, to engage in conference, meeting and course planning and registration, and to process credit cards when billing users for products and services. ASTRO will endeavor to ensure that these third parties do not further use or disclose Your Personal Information for any purpose other than providing the products or services.
ASTRO will also share information as explained in Principle 6. These third parties may not be bound by this Privacy Policy, and You should contact them directly for information on their use of Your data.
Members may opt-out of receiving future physical or electronic mailings, surveys or other information that is not directly related to the operation of ASTRO (such as Membership renewal notices), and of a listing in the member directory by contacting ASTRO using any of the following methods:

5. Optional Consent to Share and Receive Information

ASTRO may share Your information with carefully selected and screened organizations, including other associations, educational institutions, government agencies, corporate members, etc. These other organizations are not bound by this Privacy Policy, and You should contact them directly for information on their use of Your data.

6. Disclosure of Personal Information

The Sites may store and disclose Personal Information as allowed or required by applicable law, including but not limited to making disclosures that are necessary or advisable to: (a) conform to legal or regulatory requirements or comply with legal process; and (b) protect the rights, safety or property of ASTRO, the Sites or others (including but not limited to other providers, suppliers and vendors), or the users of the Sites or the public. In addition, if you are a registered Member of the website ASTRO.ORG, Personal Information and photos that You provide through the ASTRO Member’s Only Site may be disclosed to other ASTRO Members via the Online Membership Directory.

7. Public Forums

The Sites make use of chat rooms, forums, communities, message boards, and/or news groups available to its Members. Please remember that any information that is disclosed in these areas becomes public information, and You should exercise caution when deciding to disclose Your Personal Information.

8. Career Center

The ASTRO Radiation Oncology Career Center ( allows jobseekers to upload and store resumes, letters of recommendation, published articles and other Personal Information in Your jobseeker profile. ASTRO will never make Your resume searchable, unless You elect to do so. You may remove Your resume or other Personal Information from Your jobseeker profile at any time. ASTRO is not for any reason responsible for any error in the transmission of information which You post on the website. You agree that it is Your responsibility to exercise caution and to act prudently when using the services available on the website and that you use the website at Your own risk. When You elect to make Your resume or other information searchable, employers may use Your information to contact You, and the information may become a part of the employer’s database. ASTRO is not responsible for an employer’s or third party’s use of the Personal Information that You publicly post on the website. Any employer or third party usage of Your Personal Information is subject to the privacy policy of that employer or third party. ASTRO attempts to limit access to its searchable resume database to legitimate users, such as employers and recruiters, but cannot guarantee that other parties will not gain access to this database. Additional policies posted on the website are incorporated herein.

9. Accountability

If at any time You believe that the Sites have not adhered to these principles, please notify The American Society for Radiation Oncology, 8280 Willow Oaks Corporate Drive, Suite 500, Fairfax, VA 22031, and ASTRO will use good faith efforts to determine and correct the problem.

10. Freedom to Act

In addition to the above, ASTRO may exercise all rights allowed by applicable law.
