2019 ASTRO Annual Meeting

Poster Viewing Presenters

Nearly 2,000 digital posters will be on display in the Innovation Hub (Exhibit Hall). Posters will be grouped by disease site, and all poster authors will have the opportunity to provide a brief overview of their poster during a scheduled time in one of four Poster Viewing Q&A sessions.

When not in session, the poster stations are available for poster browsing. Posters are searchable by keyword, presenter name, institution or poster number.

The digital format will allow for:

  • Scheduled presentation times by disease site for each author in order to foster networking and improved visibility of individual posters
  • All presentations will be 5 minutes, in a timed, fast-paced format.
  • Integration of posters into Exhibit Hall, thus no separate poster hall to walk to.
  • Utilization of new technology to build better posters; presenters may include audio, video and other graphics.
  • There will be a $60 fee per poster for digital upload, payable at the time of upload. The fee has been set at a price that is substantially lower than traditional paper printing, and we are confident that this new format will provide greater visibility of every poster presentation than the previous paper format.
  • A  "Posters on Demand" feature, to search and view all posters at stations in the hall, on the mobile app and the Online Conference Planner, during and after the meeting.
  • No Paper Required - Poster presenters do not produce a paper version of the poster.
  • No Setup time or tear down time required.

Session Format and Upload Information

Poster presenters are asked to arrive at their designated poster station at the beginning of the session (even if you are the last presenter). A session Moderator will be standing by each poster station and will get the session started and keep the presentations on schedule.

  • Most stations will have a maximum of 10 posters per station. With a 15 minute Q&A period following all presentations.
  • Each poster author will have 5 minutes to provide a brief overview of their study.
  • You will use your electronic poster to do your presentation. No PowerPoint is necessary. All stations will have a touchscreen, and the poster will be designed such that you touch the screen to zoom in on each section of the poster.
  • All posters will be built using our electronic poster template provided by our vendor, MultiLearning. Presentations will be given using the touch screen to zoom in to the different sections of the poster.

Poster Builder

Log in to the Speaker Center to access the poster builder. The digital upload fee must be paid in advance of connecting to the poster builder site. The fee will increase incrementally as the date gets closer to the Annual Meeting, so upload early!  Here are the deadlines:

$60 - Now through June 28         
$70 - June 28 - July 26            
$80 - July 27 - August 30          

FINAL deadline to upload your poster is August 30th. 

RSVP - Speaker Center

All abstract presenters are asked to login to the Speaker Center  and accept your role as a presenter at the Annual Meeting. This online site will be your one-stop shop for all responsibilities related to the meeting such as the link to the poster builder, Housing and Registration, etc.

Register early for the best rates, and then secure a hotel room, as they do sell out fast.

Virtual Poster Library

All posters will be included in the Virtual Poster Library. This will allow all attendees to view your poster while at the meeting either via the mobile app or at the “Posters-on-Demand” stations located in the Innovation Hub and throughout the convention center.

Poster Display Times

Accepted posters will be on display by disease site during the following days and times:

Sunday, September 15 10:00 a.m. - 5:00 p.m.*
Monday, September 16 10:00 a.m. - 5:00 p.m.*
Tuesday, September 17 10:00 a.m. - 5:00 p.m.*

*NOTE: Digital Posters will be displayed during the times above except when there are Poster Viewing Q&A Sessions. During this time, all digital posters will be available to view at the Posters on Demand stations located in the innovation hub.

Additional Poster Viewing Hours

The following times are when posters are not in session and all stations are available for browsing posters:

Sunday, September 15 10:00 a.m. - 1:00 p.m. and 2:30 p.m. - 5:00 p.m.
Monday, September 16 12:00 p.m. - 5:00 p.m.
Tuesday, September 17 10:00 a.m. - 12:45 p.m. and 4:00 p.m. - 5:00 p.m.

All-day Poster Viewing

*NEW* Additional digital poster stations will be available outside of Hall F2 for attendees to browse all digital posters at any time during the meeting. Posters are searchable by keyword, presenter, institution or poster number.

Changes/Withdrawal

**If you have any questions regarding this notification, have any changes, or there is any reason you cannot present this abstract, or wish to withdraw your abstract from the program, you must submit your request by midnight Friday, May 24 to the Johanna Vanarsdall.

Vendor/Commercial Names

Please know that it’s ASTRO’s policy and in compliance with the ACCME guidelines we must avoid any commercial bias at our scientific meeting. Abstracts with vendor names or names of commercial products or services will be edited out at ASTRO’s discretion. The presenting author will be notified if any edits are made and given the opportunity to comment on the changes.

Other Meetings & Publications

Should your abstract be selected for presentation at another meeting or published prior to the ASTRO Annual Meeting, please notify the Johanna Vanarsdall.  Depending on the publication details and size of the other meeting, we may need to withdraw your abstract in order to maintain our high-quality scientific program.
